Template Approvals

Wisely allows you to approve the templates once they are created. The templates go to the pending tab of the Approval module in the Wisely platform. When users generate the templates, the approvers or reviewers are notified via email.

Approve Templates

Required Roles:

  • Admin/Super Admin

  • Business

To approve the templates,

  1. Log in to the Wisely account with your valid credentials.

  2. Navigate to Approvals from the left menu.
    The pending tab opens.

  3. Search the template that you want to review.

  1. Select Review next to the template.
    The template review page opens.

  2. Select Approve at the bottom.
    The approve window opens.

  1. (Optional) Add your remarks if any.

  2. Select Approve.

    The template is approved and moved to the Approved tab and the final status is assigned as  “Pending for Activation”.

    Note

    If the template has only single approval level, reassignment to a preceding level is not allowed.

Example for Multi-level Approvals Scenario

The following flow illustrates how multi-level approvals are applied, when a new template is created.

  1. A new RCS template has been created and the status assigned as “Activation pending” in the template listing page.

  1. A template approval workflow is in place with 3-level approvals - each level consists of one or more user roles, either business, super admin, or admin.

    Note

    You can assign multiple roles upto 3 and multiple users at each level. However, duplicate users are not allowed as a first reviewer in more than one level.

  1. The RCS template has been assigned an ID and listed in the Approvals page where approver users can reassign to other approvers or approve or reject the template.

    Note

    The first approver in the level 1 will be notified of a template approval and the template is listed in the first approver’s approvals page. Once the template is approved at level 1 and it goes to the subsequent level of approvals.

  1. The following image depicts the template approval flow starting from level 1 to level 3.

  1. Once the template attains all approval levels, the audit log shows approval status at each level, and the template is ready for sending business communication.

Reject Templates

Required Roles:

  • Admin/Super Admin

  • Business

To approve the templates,

  1. Login to the Wisely account with your valid credentials.

  2. Navigate to Approvals from the left menu.
    The pending tab opens.

  3. Search the template that you want to review.

  4. Select Review next to the template.
    The template review page opens.

  5. Select Reject at the bottom.
    The Reject window opens.

  1. Select Rejection Reason from the dropdown items.

  2. Add your comments in the Rejection Reason field.

  3. (Optional) Upload an image if required.

  4. Select Reject at the bottom.
    The template status will be updated as “Rejected” and moved to the Reject tab. You can not use the rejected template for business communications.

View Templates

You can view the template details from the approved and/or rejected tabs in the Approval module in Wisely.

To view the template details,

  1. Navigate to Approvals from the left menu.
    The pending tab opens.

  2. Switch to the Approved and/or Rejected tabs.

  3. Select the eye icon () next to the template you prefer to view.

    The template details are open in the right window.

View Approval Audit log

The approval audit log provides you with the number of levels assigned, the number of approvers assigned at each level, their comments on approvals, and reasons for rejections if applicable. You can view the approval audit log under the pending, approved, and rejected tabs in the Approval module.

To view the approval audit log,

  1. Navigate to Approvals from the left menu.
    The pending tab opens.

  2. (Optional) Switch to Approved or Rejected tabs if required.

  3. Select the Approval Audit log ( ) icon next to the template that you want to see the approval audit log.

    The approval audit log opens on the side window. You can view the details such as template name, approval type, created by, created on and the number of approval levels assigned and their status as Approved or Rejected at level N.
